Custom Software vs Off-the-Shelf: An Honest Comparison

This is not a sales pitch for bespoke software. Sometimes the £50-a-month tool is genuinely the right answer. Here is an honest way to decide.

When off-the-shelf wins

  • Your process is standard. Accounting, email, basic invoicing: solved problems, buy the tool.
  • You are small and the tool does 90% of what you need.
  • You need it working tomorrow.

When off-the-shelf quietly loses

The monthly fee is not the real cost. The real cost is:

  • Double entry. Staff copying data between systems that do not talk to each other.
  • Workarounds. The spreadsheet that lives next to the tool because the tool almost fits.
  • Per-user pricing. £30 per user per month is £3,600 a year for ten people, forever, for software you never own.
  • Process distortion. You change how you work to suit the software, instead of the other way round.

The maths that matters

Add up what you pay per year for the tools that almost fit, plus the hours staff spend on manual work between them. If that number approaches what a focused bespoke tool costs to build, typically £3,000 to £6,000 for something like a quoting or booking system, bespoke starts paying for itself in year one or two, and you own it outright.

A simple decision rule

If your process is generic, buy. If your process is how you win work, serve customers faster, or price better than competitors, build. Our comparison above aside, the checklist in our guide to bespoke software will help you score your own situation.
